Job Overview
The U.S. Embassy to Kenya is looking for a highly organized Administrative Assistant to join our Regional Security Office (RSO) in Nairobi. You will play a vital role in providing technical, administrative, and logistical support to key personnel, including Security Investigators, Coordinators, and Bodyguards. As part of this dynamic team, you’ll ensure seamless operations while contributing to the security and safety of the Embassy.
Key Responsibilities
- Administrative Support (50% of time):
- Manage calls, inquiries, and routine investigative matters.
- Create and distribute official correspondence, forms, and reports.
- Track office supplies, manage orders, and submit purchase requests.
- Maintain key databases (e.g., Diplomatic Security Incident Reporting).
- Organize official travel for personnel and assist with event coordination.
- Sub-Cashier Duties (20% of time):
- Manage a $2,000 cash float, including cash disbursements and reimbursements.
- Investigation Support (30% of time):
- Manage calendars, process badges, and handle fingerprinting duties.
- Support local vetting processes and maintain investigation-related records.
Required Qualifications
- Education: Completion of high school and 2 years of college.
- Experience: At least 4 years of experience in a busy office environment. Basic knowledge of Financial Accounting is preferred.
- Skills: Proficiency in MS Office, attention to detail, and ability to manage multiple tasks.
Preferred Qualifications
- Background Check: Ability to obtain a Police Clearance Certificate and pass a background investigation.
- Organizational Skills: Strong ability to handle complex schedules and high-priority tasks.
